Kotaro Ueda (the "Operator") establishes this Privacy Policy (this "Policy") regarding the handling of Users' personal information and usage data in the conversation practice service "RenAI" (the "Service").
Because the Service collects and analyzes camera video, microphone audio, and conversation content, it handles sensitive information. Please review this Policy carefully before using the Service.
This Policy is prepared in Japanese, and this English text is a translation provided for convenience. If there is any discrepancy or inconsistency between the Japanese version and this translation, the Japanese version prevails.
1. Operator Information

2. Information We Collect
In providing the Service, the Operator collects the following information.
- Account information: display name, user ID, email address (optional, including via Google account linking), the user identifier issued by the authentication platform (Firebase Authentication), profile image, and profile information such as a self-introduction. Passwords are managed by the authentication platform and are not stored on the Operator's servers.
- Conversation data: the content of messages that the User inputs or speaks to the Service and of the AI's response messages.
- Audio data: microphone recordings sent for transcription (speech recognition), and numeric features extracted from audio (volume, pitch, speaking pace, intonation, speech segments, etc.).
- Video and recording data: numeric features extracted from camera video (degree of smiling, gaze direction, etc.). In addition, only when the User consents to recording, a recorded video that combines the avatar with the User's camera video and audio.
- Usage information: usage statistics such as the number and duration of sessions, various scores, feedback results, and rankings.
- Device and log information: access date and time, usage environment (browser, OS, etc.), and information collected through cookies and similar technologies.
3. How We Collect Information
- From information that the User inputs or submits (registration information, conversations, uploaded images, etc.).
- From the camera and microphone of the device used with the User's consent.
- From information generated or recorded automatically as the Service is used (logs, cookies, etc.).
4. Purposes of Use
The Operator uses the collected information for the following purposes.
- To provide the Service and to verify identity and authenticate Users
- To generate conversations with virtual characters and to generate and display feedback and scores
- To perform speech synthesis (text-to-speech) and speech recognition (transcription)
- To maintain, protect, and improve the Service and to develop new features
- To create, train, and improve machine learning models (recorded videos are limited to data of Users who have consented to recording)
- To analyze usage and to detect and prevent improper use
- To respond to inquiries from Users
- To respond as required by laws and regulations
5. Use of External Services and Disclosure to Third Parties
The Service uses external services for authentication, conversation generation, audio processing, data storage, and ad delivery, and sends information to them to the extent necessary to achieve those purposes. Their servers may be located outside Japan (including the United States).
Except for the use of the external services described above (including outsourcing and transfer outside Japan), the Operator does not provide collected personal information to third parties except as required by law or with the User's consent.
6. Handling of Recordings and Data Containing Biometric Features
The recording feature operates only when the User has explicitly consented to recording. The conversation features of the Service remain available even without consent.
Recorded videos contain the User's face and voice. Recorded videos are stored in Google Cloud Storage, managed in principle so that only the User can play them back, and used to improve the Service and to create and improve machine learning models.
Consent to recording may be withdrawn at any time through the settings within the Service or by contacting the Operator, and the User may request deletion of stored recorded videos.
7. Handling of Audio (Recordings)
Microphone recordings sent for transcription (speech recognition) are temporarily sent to an external service (ElevenLabs) for conversion to text. The Operator does not store the recorded audio itself after conversion. Conversation feedback and analysis use numeric features extracted from the audio and the converted text.
8. Storage Location and Retention Period
Collected information is stored in databases and Google Cloud Storage (each of which may include servers outside Japan).
The Operator retains information for the period necessary to achieve the purposes of use, or for the period during which the User uses the Service, and erases or anonymizes it within a reasonable period after it is no longer necessary or after the period prescribed by law has elapsed. No uniform retention period is set in advance.
Recorded videos are retained for the above period because they are continuously used to create and improve machine learning models. As described in Section 10, Users may request deletion of recorded videos and of their account through features within the Service or by contacting the Operator.
9. Security Measures
The Operator takes necessary and appropriate measures, such as encryption of communications and management of access permissions, to prevent leakage, loss, or damage of the collected information and to otherwise manage its security.
10. Requests for Disclosure, Correction, Deletion, and Suspension of Use
Users may request that the Operator disclose, correct, add to, delete, suspend the use of, erase, or stop the third-party provision of their personal information.
Users can delete their Account (withdraw) and delete recorded videos using features within the Service. If an Account is deleted, related data is deleted or anonymized in accordance with this Policy and applicable laws.
For these requests and inquiries, please contact us at the contact in Section 14. We will respond in accordance with the law after confirming that the request is from the User themselves.
11. Cookies and Advertising
The Service uses cookies and similar technologies (such as browser local storage) to maintain login status and understand usage.
When the Service uses Google AdSense, Google and its partners may use cookies and the like to deliver ads based on prior access information. Users can disable cookies through their browser settings and can stop ad personalization through Google's ad settings.
12. Use by Minors
Minors should use the Service only with the consent of a legal representative such as a parent or guardian. Please note that the Service currently does not have an age verification mechanism.
13. Changes to This Policy
The Operator may change this Policy in response to changes in laws or in the content of the Service. When making material changes, the Operator will give notice by posting on the Service or other appropriate means. The revised Policy takes effect from the time it is posted on the Service.
